FAQs

Q: My logo is not showing up on the PO (or it's showing up and not looking right).

A: We grabbed your logo from the internet. We can work with you to add a different logo.

Q: I can't approve invoices. They show up on the Worklist but I can't approve.

A: This is a permissions issue. Send a screenshot to crc@sdcoe.net along with your name and description of when you have the problem.

Q: Can the account string print on the PO?

A: No. This is not something that PeopleSoft does because the vendor does not need the information to fulfill the order. There are many ways to get the information in the system as needed. It is costly to get it added. You can use a Comment line as a workaround.

Q: What does "Dispatch" mean?

A: This is what generates your PO. You can dispatch to a PDF or an email. This tutorial explains how to budget check and dispatch a PO.

Q: How do I get a second copy of my PO? The Dispatch button is grey.

A: Navigate to the Report Manager.

Q: Why can't two different people update/modify the same PO?

A: Yes, you can, just not at the same time. [As of 01/16/14, the CRC is working on a document or tutorial to show how to set this up.]

Q: Can I change or update a PO that someone else created?

A: Yes, you need rights to their documents.

Q: What is a category code?

A: Each category code has an object that goes with it; you attach it to the requisition. It shows what type of item you're purchasing and use it for reporting.

Q: Can we add more category codes?

A: Yes, absolutely. [As of 01/16/14, the CRC is working on a document or tutorial to show how to set this up.]

Q: How does a PO get closed out?

A: There is a process that is run that will close it out. You can also go into the Purchasing module and close a PO, which will release the encumbrance. At the end of the year they will all close out.

Q: Is there an Open PO list?

A: Yes, it is coming. [As of 01/16/14, the CRC is working on a document or tutorial to show how to run it.]

Q: Is there a Mass Close to close out all POs?

A: At the end of the year, all POs will get closed.

Q: Is there an extract for the Interim Report?

A: Yes, it is coming. A SACS extract is being developed. [As of 01/16/14, the CRC is working on a document or tutorial to show how to run it.]
