Working with your Department Budget Table (DBT) after the DBT Rollover

On Wednesday, May 6, 2015 at approximately 4:00 pm, the SDCOE Financial Accounting Department performed the PeopleSoft Department Budget Table (DBT) rollover. This process took any positions from 2014-15 and created a 2015-16 record for them on the DBT screen in HCM. In the example below, Position 10472330 now has a “2016” record – 2016 represents 2015-16.

Special Considerations for Using the DBT Screen
At this time of the year, as 2014-15 ends and 2015-16 draws near, here are special considerations when using the DBT:
  • If you need to enter or update a position’s DBT for 2014-15 only, and not 2015-16, make sure you only work with the record labeled 2015. 
  • If you need to enter or update a position’s DBT for 2015-16 only, and not 2014-15, make sure you only work with the record labeled 2016. 
  • If you need to enter or update a position’s DBT for both 2014-15 and 2015-16, make sure you work with both records (2015 and 2016). 
NOTES:
  • Please be aware that some DBT queries, like M_KK_POSIT_COMBO_ACCTS_LIST, do not return 2016 data at this time. This is currently being addressed by MITI/CRC.
  • If you had created a DBT for a position for 2015-16 prior to Wednesday, 5/6/15 at 4:00 pm, it is likely that it was wiped out when the rollover occurred. In this situation, you would need to re-enter the DBT information. 
Special Information for Group 2 districts and Lakeside:
Although Group 2 districts and Lakeside were rolled on 5/6/15, they will need to be re-rolled. This is because MITI has not finished Group 2 DBTs from the May 4 Go Live. San Dieguito, Encinitas, Carlsbad, Fallbrook Elementary, Fallbrook High, Borrego Springs, Vallecitos, and Lakeside should not enter DBTs for 2015-16 until notified.
