For Districts Using the Rapid Time Excel-to-CI Spreadsheet new TRC Codes added

If you use Rapid Time, please download the latest version of the Rapid Time Entry spreadsheet at http://crc.sdcoe.net/resources/peoplesoft/guides. Scroll to the folder called HCM - Excel/CI Rapid Time and locate the file named SDCOE_Rapid_Time_Entry_Template.xlsm.

The TRC tab on the Rapid Time Entry spreadsheet (SDCOE_Rapid_Time_Entry_Template.xlsm) has been updated to include the following new Time Reporting Codes (TRC) related to COVID-19 earnings:
  • School Closure Premiums AMOUNT (SPC$)
  • School Closure Premiums HOURS (SPCH)
In addition to the TRC tab update, the validation logic for the Combination Code field (column I) has been changed to mark missing or blank cells as "warnings" highlighted in yellow instead of "critical errors" highlighted in red. The validation logic will no longer set the Combination Code field to zeros when it is blank on the spreadsheet. These changes were made to accommodate the entry of time worked for employees assigned to the “SDCOE” Taskgroup who do not require a Combination Code to be entered. The recommendation is to enter a Combination Code for these employees, however it is not required for processing their time worked entries. The system will expense the time worked for these employees based on their position number when no Combination Code is entered. Employees assigned to the “POSPAY” or “SUB-TEA” Taskgroup must have a Combination Code entered in order for their time worked to be successfully processed by Time & Labor. Missing Combination Codes for these employees will be marked as “warnings” highlighted in yellow on the Rapid Time Entry spreadsheet. Combination Code “warnings” for these employees will need to be corrected by entering a valid combination code. This must be done before proceeding to the next step in the Rapid Time Excel-to-CI process, otherwise these employees will NOT get paid.
