Excess Vacation Query (M_EXCESS_LEAVE_RPT) Reminders

Vacation requests that overlap Fiscal Years will not display on this report if they are entered as single request in Absence Management.
If a vacation request overlaps Fiscal Years, there needs to be two entries, one for each Fiscal Year.

Future dated vacation requests approved on the Absence Event screen will not display on this query. Future dated vacation requests need to be approved on either the Timesheet or the Absence Request screens. Future dated vacation requests approved on the Absence Event screen do not appear in the “Approved Pending Hours” column on this query.

Following are the column header definitions for the query:
  • ID – Employee Identification number 
  • Empl Record – Employee Empl Record number 
  • Name – Employee Last name, First name including middle name 
  • Department – Employee Department description from Job Data 
  • Pay Group – Employee Absence Pay Group 
  • Vacation Hours – This is the starting vacation balance of the current open period. It includes the retro hours and future dated hours that are processed when Finalizing the previous period. For example, if the month for February is Finalized on 02/13/2018 and there are 8 hours of vacation already approved for 02/28/2018, the starting balance of the open period will include this deduction. It will not include: 
    • Any unapproved vacations at Finalization (02/13/2018) 
    • Any approved vacations after Finalization including future dated for following months. 
  • Max Allowable Vacation Hours – This is the maximum number of vacation hours each employee is allowed to have. This calculation is based on the employee’s vacation bracket (pay group and employee type) provided by the district. 
  • Hours in Excess – This is the number of vacation hours an employee has over the maximum allowable hours. 
  • Approved Pending Hours – This number includes: 
    • The number of approved future-dated vacation hours that have not been processed up to the end of the current fiscal year (06/30/2018) 
    • Unapproved Vacation requests 
  • Rmng. Exc Hrs at Fisc Year End – This is the number of hours in excess an employee will still have after taking all of the approved pending vacation up to the end of the current fiscal year (06/30/2018). A negative number means an employee will no longer have excess hours of vacation.
