Exception Hourly (EXC HRLY) Absences

The SDCOE CRC would like to make you aware of an update to Exception Hourly (EXC HRLY) Absences. EXC HRLY employees have a fixed schedule and their time is loaded during the Mass Time process that occurs after the second Off-Cycle. Effective March 2015, after you enter in a partial day absence for these employees and submit the absence, the remaining regular hours worked on that day (or days, if more than one) will now be auto-calculated and populated on the regular time line (first row). If the time was loaded manually, for example by clicking the Apply Schedule button, or by entering the regular time day-by-day, then the system will not auto-calculate and load the regular time. Please see the two scenarios below for examples.

Scenario 1: Full day absence
Here is an example of a fixed schedule EXC HRLY employee whose regular schedule is 6.5 hours a day. When an absence is entered and submitted, the regular time row (first row) is blanked out and the 6.5 now appears on the second row as shown in the “After entering the absence” portion of the screenshot. This will now calculate properly.

Scenario 2: Partial day absence
This EXC HRLY works 4.25 hours on Tuesday, 1/6/15 and needs to take 2.0 hours sick leave (partial day absence). As soon as you submit the partial day absence, the system will take the regular hours (4.25) and subtract the partial absence hours taken that day (2.0), and then auto-populate the difference (2.25) in the regular time row as shown in the “After entering the absence” portion of the screenshot. This will now calculate properly.
