Budget adoption work during PeopleSoft extended maintenance

We would like to acknowledge that we did not provide advanced notice (i.e., 3 weeks) of extended maintenance for this weekend. We know this is a busy time of the year that requires districts to work on the weekend. We apologize for this short notice. Normally, we would have provided at least 3 weeks advance notice of extended maintenance that would require the PeopleSoft Production and Employee Self-Service to be unavailable longer than the normal maintenance window, Saturdays 12:00 – 8:00 am.

In the future, we will send an announcement for the upcoming annual extended maintenance calendar (January – December) by December of the current year. We will post the dates on the calendar on the PeopleSoft Support website under the Calendar & Training tab. The complete schedule will continue to be posted under the Links tab and System Status by December.

These selected outage dates are determined by Oracle and our hosting vendor, Cherry Road, in order to perform important system updates. These outages include multiple clients of Oracle and Cherry Road. SDCOE has no control over the dates that are provided on the annual schedule. These extended maintenances normally occur quarterly.

These outages are important, critical updates that ensures the system operates properly and stays secure so they must occur and cannot be delayed. Our last quarterly update was February 26, 2021. The next planned extended maintenance are:

  • Friday, September 10, 2021 7:00 pm – Saturday, September 11, 2021, 7:00 pm
  • Friday, December 17, 2021 7:00 pm – Saturday, December 18, 2021, 7:00 pm

If you need to work in PeopleSoft this weekend, there are 2 options for budget adoption work:

Option 1:

Work directly in Production any time after 7:00 pm on Saturday, June 5, 2021 and all day on Sunday.

 

Option 2:

On June 2, 2021, we notified you that the Sandbox Environment (SDPX) would be refreshed after 9:00 pm tonight, Thursday, June 3, 2021. This will allow those of you who need to work on Saturday to perform budget adoption work.

We recommend you use the Sandbox environment in the following ways to reduce the impact of budget adoption work:

  • Data:
    • All data is the same as of 9:00 pm tonight, Thursday, June 3, 2021
    • Security access to Sandbox is the same as Production. Suggest testing access to Sandbox on Friday.
  • Processes:
    • Run Budget and GL uploads
    • Run queries and reports
    • Run SACS Extracts
  • Replication of data from Production to Sandbox and Sandbox to Production:
    • Keep track of your Production Finance entries on Friday. (NOTE: You will want to enter them in the Sandbox environment at the same time so Sandbox is a reliable copy of Production.)
    • Keep track of any Finance entries you make in Sandbox (i.e. Budget & GL Journals).
    • We suggest using Excel upload templates if you need to make changes in the Sandbox so you can easily replicate/add the data in Production, which normally takes about 5 minutes.
    • If you need assistance replicating/adding the data into Production, as you did in your Sandbox, please submit a Service Portal Ticket and we will be happy to assist.

Notification will be sent when maintenance is completed and Production is available.
