Additional Pays with 7/1/2018 end dates

The Education Business Systems HCM team has noticed that Additional Pays with 7/1/18 End Dates, and have OK to Pay turned on, were incorporated onto July paylines. This is present even if an override was configured under the Override Additional Pay (Employee) screen for July. We have contacted the impacted districts and taken steps to ensure that these Additional Pays do not pay in July.

Please note that, if the Additional Pay has a 6/30/2018 End Date, the record will not process.

To stop an Additional Pay record, we recommend the following:

1. To ensure that an existing Additional Pay stops paying:
  • Set the End Date on the Additional Pay to the last day of the month previous to the month in which the Additional Pay stops. As an example, if an Additional Pay stops in July, then set the End Date to June 30. 
  • Ensure that the OK to Pay checkbox on the Additional Pay screen is unchecked. 
  • Ensure that any month in which the Additional Pay should not be paid is unchecked in the Override Additional Pay (Employee) screen. 
The following screenshot shows an example of an Additional Pay that will stop on July 1, 2018 (notice the end date is 6/30/18 and OK to Pay is not checked):

2. To set up a new Additional Pay with a future End Date, we recommend the following:
  • Set the End Date on the Additional Pay to the last day of the month previous to the month in which the Additional Pay stops. As an example, if an Additional Pay stops in July, then set the End Date to June 30. 
  • Check the OK to Pay checkbox
  • Ensure that any month in which the Additional Pay should not be paid is unchecked in the Override Additional Pay (Employee) screen.
